Small Schools (< 1,000 students)

Who we work with: CEO / Executive Director

At this size, you don’t need a CFO. Your CEO can stay close to the numbers, and we act as your entire finance department.

We handle accounting, payroll, benefits, compliance, grants management, and financial reporting.

You get a dedicated bookreport finance lead who meets with leadership weekly and prepares monthly board-ready financials.

What you need on campus:

Even with a full outsourced back-office, a few on-site roles keep the gears turning:

  • Office Manager (10–20 hours/week): Places orders, requests quotes, and—when necessary—pushes vendors to deliver. Manages deposits, interacts with parents, and keeps communication flowing between your campus and bookreport.
  • Department Managers (1 hour/week): Approve purchases and timesheets, enter new hires or terminations, and monitor budgets. With bookreport, managers can do more and know more in less time—clear data, simple approvals, and zero confusion.
  • CEO or Executive Director (1–2 hours/month): Provides high-level approvals for final payroll and payment authorization and budget oversight. We can meet weekly, monthly, or as needed—your choice—but you’ll always have clear visibility into your financial position.
  • Grants or Development Team (0–5 hours/week): Tracks donations, sends donor receipts, and reviews reconciliation reports from bookreport. Coordinates with our team for custom donor or grant reports as needed.

We do everything that can be done from a laptop. You keep the human eyes and judgment on what matters most.

Mid-Sized Schools (1,000–3,000 students)

Who we work with: CEO or Director of Finance or Operations

You’re now big enough that processes and people multiply—but not quite ready for a full time CFO.

We remain your accounting, payroll, and reporting engine, while you keep light operational oversight on campus.

  • Director of Operations (10–15 hours/week): Serves as the main point of contact with bookreport. Reviews reports, approves payroll, coordinates data requests, and manages audit preparation. With streamlined processes and clear insights, they can make better decisions with less effort.
  • Office Managers or Campus Operations Coordinators (10–15 hours/week each): Place and track orders, manage receipts, organize deposits, and communicate with vendors. bookreport keeps everything centralized so they can handle more campuses and more vendors with fewer headaches.
  • CEO or Executive Director (2–3 hours/month): Oversees high-level approvals and reviews key financial updates prepared by bookreport. Whether you prefer regular check-ins or just milestone reviews, you’ll always have a clear picture of financial health.
  • Grants or Development Team (3–5 hours/week): Tracks donations, prepares donor acknowledgments, and reviews reconciliation reports provided by bookreport. Collaborates with us on special donor or grant reporting needs.
  • HR Coordinator (3–5 hours/week): Handles new hires, terminations, and employee updates within bookreport. We take care of payroll and compliance, while your HR team keeps people and culture front and center.

School Networks (3,000+ Students Across Campuses)

Who we work with: CFO

At this scale, a CFO make sense. They’re the one who owns financial accountability to the board.

We become their full-service finance department—managing accounting, payroll, grants, and financial modeling—while they handle strategy and oversight.

Your internal team sets financial strategy and policy; we execute across every campus consistently.

  • CFO or Director of Finance (Full-Time): Oversees the organization’s financial health, manages the relationship with bookreport, and presents financials to the board. They focus on long-term strategy, forecasting, and resource alignment—while we execute the daily operations flawlessly.
  • COO or Director of Operations (10–15 hours/week): Coordinates operational processes across campuses, ensures consistent execution, and communicates network-level needs to bookreport. With unified data and streamlined systems, they can see everything happening across every campus in real time.
  • Campus Operations Coordinators or Office Managers (5–10 hours/week each): Handle campus-level ordering, receipts, deposits, and vendor follow-up. bookreport gives them the visibility and tools to do more with less manual tracking.
  • HR Director (Part-Time or Shared Role): Leads HR strategy, recruitment, and culture initiatives. bookreport handles the administrative side—payroll, compliance, and onboarding—so your HR leader can focus on people, not paperwork.
